How long does it take to get Swoofee Food setup?

Minutes. You can set up an account and have your customers making orders in just a few minutes. If you don't have a stripe account already please have ID, proof of address and bank account details to hand.

How do I set up a Swoofee food account?

To sign up for your free Swoofee account:

  • Click on the sign up for free button on the website.

  • Enter your email address and create a password.

  • You will be emailed a Verification code. Enter this code... and that's it!

You now have a Swoofee account and you can proceed setting up your company details and stripe account.

What information do I need to get started?

When creating a Swoofee account you will need the following:

  • An email address and a password
  • Your business name and address

Stripe will also require:

  • The name, address and DOB of company directors
  • Business name, address and your business bank account details

Why do I need a Stripe account?

Swoofee uses Stripe to process the card payments. Once a transaction is activated using Swoofee, all of the relevant details are passed to Stripe who handle the transaction and lodge the payment to your account. Once the payment has been cleared, Stripe will then transfer the funds from your Stripe account to you nominated business bank account.

Who are Stripe?

Stripe is a technology company based in San Francisco, California and has headquarters in Dublin, London, Paris and Singapore. Its software allows individuals and businesses to make and receive payments over the Internet. Stripe provides the technical, fraud prevention, and banking infrastructure required to operate online payment systems.

I don't have a Stripe account is that a problem?

A Stripe account is required to use Swoofee. When you are setting up your details in Swoofee we will direct you to Stripe to open a Stripe account—It will connect with Swoofee automatically.

I already have a Stripe account

If you already have a Stripe account you can connect this account to Swoofee if you wish. In Swoofee you will be prompted to create a new Stripe account or connect an existing account, in which case you will be prompted to enter your Stripe login details.

How do I use the Swoofee QR code

The Swoofee QR code can be placed on:

  • Your menus and flyers
  • Social Media
  • On your premises... your imagination is the limit!

A customer scans the QR code with their smartphone, launching your menu, allowing customers to order and pay for food.

Can I use it on more than one ipad?

Of course, you can log in on as many devices as you wish. You can even set up more users if you wish.

Can I print my food orders?

YES! Click on the print icon to the left of your order and print.

Where do I see a new order?

Click on orders on the left hand menu.

How do I close an order?

When your order is complete you can select complete on the order, this will move it to the complete orders list.

How do my customers see my menu?

Your customer can go to your unique url OR simply scan your QR code.

How do I download the app?

There is no app to download. Your Swoofee food will look like an app and behave like an app but neither you nor your customer will ever have to download an app.

How do I create my menu?

After creating your Swoofee account go to Menu Editor / Setup on the lefthand menu.

How do I reorder my menu?

Absolutely. Clicking the up or down arrow on a category will move that entire category up or down. Clicking the up or down arrow on an individual item will move that item up or down the list in its own category.

How do I create categories?

Click add to create a new menu item, whatever you type into the category box will become a new category. Use the same text in other menu items to continue adding to this category.

Can more than one person use it?

Yes. Share your login with your staff OR set you staff up as users by access the Users menu option on the left hand menu.

How do I stop orders when the cafe is closed?

Set your opening hrs and out of hrs message by going to Foods details on the left hand menu.

How do I indicate a dish has been sold out?

Go to your menu editor and click on the slider to disable a menu item.

How do I view my menu?

If you want to see what your customer sees as you are creating your menu, then click on the option in your Menu editor / setup.

How can I set my opening hrs?

Can I leave a message for customers when they open the app?

Yes, go to Foods details on the left hand menu.

How much does the set up cost?

Nothing......Setting up an account is free. If you set up an account you will not be charged, you will only ever pay a transaction fee.

How much does Swoofee Food cost?

Swoofee Food charges a transaction fee only. Fees start at 5% plus 25c plus VAT where applicable. Check out the prices page on our website for more information on prices in your country.

How are Swoofee fees collected?

When a payment is processed, Stripe will deduct the relevant fee from the transaction before the balance of the payment is transferred to your business bank account.

Is there additional fees for using Stripe?

No, there are no hidden costs. the fee charged by Swoofee is inclusive of the Stripe fee.

Will I get a VAT invoice for fees deducted?

Yes, you will. Within Swoofee there is a billing tab. Here you will see a monthly invoice for Swoofee fees charged and VAT applied where applicable. There is also monthly Stripe transaction report detailing Stripe fees and any VAT charged.

How much does it cost per month?

Nothing.....Pay per transaction only. This fee never changes.

Do I have to pay more if more than one person uses it?

Nope. Share your log in OR create users. You will never be charged for the app.

Can a customer authenticate payments to me using Swoofee?

Yes, Swoofee has built SCA authentication into its App. If authentication is required by your customers’ bank Swoofee will guide your customer through the process while making the payment

What is Strong Customer authentication?

Beginning September 14, 2019, PSD2 regulation will require Strong Customer Authentication (SCA) for many online payments made by European customers, to help reduce fraud.

To ensure payments will not be declined, SCA requires customers authentication to use at least two of the following three elements

SOMETHING THE CUSTOMER KNOWS (e.g., password or PIN)

SOMETHING THE CUSTOMER HAS (e.g., phone or hardware token)

SOMETHING THE CUSTOMER IS (e.g., fingerprint or face recognition)

Payment methods such as Apple Pay or Google Pay already support payment flows with a built-in layer of authentication (biometric or password).

How do I know a customer has paid?

Click on the Payments Tab and it will display the reference amount and date of all payments. Success will appear next to a payment that has been successfully completed.

In addition, the customer will automatically receive a receipt on successful payment.

What is the difference between payments and payouts?

Payments is a list off successful and pending payments that were activated by Swoofee.

Payouts is your Stripe dashboard which shows payments received and in your Stripe account. It details the Gross and the Net Payment (net after deduction of fees and VAT). It also displays the date of the transaction and the date the payments will be transferred to your business bank account.

  • In Transit—Indicates a payment received and in the credit/debit card processing stage.
  • Paid—Indicates that the payments have cleared the credit card processing stage and have now being paid to your business bank account.

Customer receipt

When a customer successfully orders using their own device (mobile, tablet, computer) a receipt will automatically appear after the transaction.

Can I issue refunds?

YES. Go to your payments list to issue a refund.

How do I issue a refund?

Click on the Payments tab. Go to the successful payment on the list that you wish to refund. Click on the icon at the left of the successful payment. Click on the refund icon and then confirm refund amount.

Can I take payment if the customer hasn't ordered through Swoofee food?

Yes, you can take a payment bu clicking on card payments on the left hand menu.
